EXECUTIVE ASSISTANT TO FILM AND TV PRODUCER – SOAPBOX PICTURES

The ideal candidate for this role will provide executive assistance to the company Founder, who most recently produced Ticket To Paradise, starring George Clooney and Julia Roberts, for Working Title and Universal. They should have prior experience in a top-tier production company, and a strong understanding of the development and production process, be well-organized, proactive, discrete, calm, even-tempered and have very strong interpersonal skills.

Responsibilities

  • Proactively taking care of day to day issues to assist Executive in focussing on projects.
  • Calendar management, including the preparation of schedules when travelling.
  • Aid executive in preparing for meetings
  • Responding to emails and document requests on behalf of executive
  • Assist in the preparation of pitches and decks.
  • Booking travel, flights, accom, transfers etc. Preparing detailed travel itineraries.
  • Proactively managing and submitting executive expenses.
  • Maintaining submission logs.
  • Maintaining NDA logs
  • Other administrative duties as required.
  • Personal Errands as required.

Qualifications

  • Extensive experience as am executive assistant in the Film and TV industry.
  • A string understanding of the development process.
  • Bachelor’s degree or equivalent experience
  • Proficient in Microsoft Office suite
  • Proficient in Google Workspace, Google Calendar
  • Proficient in Keynote, Canva etc (Or a willingness to learn quickly)
  • A general confidence in tech, eg back ups etc.
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills

Hours:

This position will require attendance at the workplace Monday to Friday each week.

Standard hours will be 9 – 5:30 however, due to the nature of the work, there will be the need to work outside of these hours on occasion to facilitate working across time zones or to meet a deadline.

The successful candidate will have a strong work ethic and a passion for the Film and Television industry.
